A hotel not finding your reservation does not necessarily mean the booking is gone. First, work out where the mismatch is.
Make sure you’re at the right hotel
Check the exact hotel name and address on your booking confirmation.
This matters especially if the hotel is part of a chain or has several branches in the same city.
Also check your:
- check-in date
- check-out date
- room/property name
If those are correct, move on.
Check that the booking is actually confirmed
Open the booking itself, not just the payment notification from your bank or card.
Look for:
- booking status
- booking or confirmation number
- guest name
- check-in and check-out dates
- hotel name and address
If the booking still says pending, processing, cancelled, or refunded, this is no longer just a hotel search problem. Contact whoever you booked with.
If it says confirmed, show the confirmation to the front desk.
Ask the hotel to search again
Give the front desk more than just your name.
Ask them to check using:
- your booking or confirmation number
- any property reference number shown on the booking
- the lead guest’s full name
- your check-in and check-out dates
It can also be worth trying the guest name in the opposite order.
You can show the front desk:
可以帮我用订单号、入住人姓名和入住日期再查一下吗?
Could you please check again using the booking number, guest name and check-in date?
Still nothing? Contact whoever sold you the room
If you booked directly with the hotel, the hotel owns the booking problem.
If you booked through Trip.com, Agoda, Booking.com or another platform, contact that platform from the booking page or app.
Tell them clearly:
I’m at the hotel now. My booking is confirmed, but the hotel says they cannot find the reservation.
Have your booking number ready.
Let the booking platform contact the hotel if necessary.
Don’t cancel and make a new booking just because the front desk can’t find the original one. First give the hotel and the booking platform a chance to verify what happened.
The hotel found the booking, but there’s a different problem
That changes what you need to solve.
For example:
- the hotel says the room has not been paid for
- the hotel says it cannot check you in
- the room type is unavailable
- the booking dates or guest details are wrong
At that point, stop treating it as a missing-booking problem and deal with the actual issue.
